Welcome & Agreement

Thank you for choosing Fossil Flowers to preserve your meaningful flowers and memories. We are honored to create a one-of-a-kind keepsake that can be treasured for years to come.

Please read these Terms & Conditions carefully. By placing an order, paying a deposit or retainer, shipping or dropping off flowers, or purchasing any Fossil Flowers product or service, you acknowledge that you have read, understood, and agree to these Terms & Conditions.

Because we work with real flowers, every piece is handcrafted and unique. Natural variations in color, shape, texture, and appearance are expected and are part of the beauty of preserved botanical art. Every artwork is an artistic interpretation and cannot be an exact replica of your fresh flowers.

These Terms & Conditions apply to all products and services offered by Fossil Flowers and are intended to protect both our clients and our business throughout the preservation process.

Booking & Preservation

To book your preservation, simply browse our collection, choose your favorite keepsake(s), and complete your purchase online.

If you're still deciding, you can reserve your place in our preservation calendar by purchasing our $150 Calendar Hold Retainer. This non-refundable retainer secures your spot and is applied toward your final order total.

Once your reservation is confirmed, we'll discuss your design options either during your flower drop-off or over the phone. If you're shipping your flowers, we'll schedule a Zoom meeting so we can get to know you, review your flowers, and discuss your vision for your custom artwork.

Payment Options

We offer several convenient payment options to make preserving your flowers as easy as possible.

Option 1 – Pay in Full

You may pay for your order in full at the time of booking through our website.

Option 2 – Shop Pay Installments

Eligible customers may choose Shop Pay Installments at checkout, allowing payments to be made over time through Shop Pay. Approval and payment terms are determined by Shop Pay.

Option 3 – $150 Calendar Hold Retainer

If you're not ready to finalize your order, you may reserve your place in our preservation calendar with a $150 non-refundable retainer. This retainer is applied toward your final order total.

The remaining balance is due within 60 days of booking unless other arrangements have been made with Fossil Flowers.

Flexible Payment Plans

We understand that custom artwork is an investment. If you need additional time to pay, we are happy to work with you whenever possible.

Please let us know as soon as possible if you would like a customized payment schedule. We can create additional invoices and divide your remaining balance into multiple payments to fit your needs.

Communication is important. If you anticipate needing additional time or payment arrangements, please contact us before your payment due date so we can discuss available options.

Shipping, Drop-Off, Flower Condition, Arrival Inspection & Enhancement

Shipping Your Flowers:
If you are shipping your flowers, please review our Shipping Instructions before sending your bouquet. (Add shipping page link.)

Local Drop-Off:
If you are dropping your flowers off at our studio, you will receive a scheduling link to choose a convenient appointment time. The link will include our studio address, drop-off instructions, and everything you need to prepare your flowers.

Arrival & Inspection:
Once your flowers arrive, they are carefully inspected, inventoried, photographed, and documented in your client file. Each order is labeled and stored appropriately until it is ready to begin the preservation process.

Flower Condition & Preservation:
Flowers are a natural, organic product, and every bloom ages differently. As flowers continue to wilt and dry, some may naturally change in color, shape, or structure, and occasionally a bloom may not survive the preservation process.

We carefully reconstruct, reinforce, and enhance each flower using professional preservation techniques to achieve the best possible result. While we strive to restore colors as closely as possible to how they appeared when fresh, exact color and shape cannot be guaranteed. Variations are a normal and expected part of preserving real flowers, making each keepsake truly one of a kind.

Appointments, Pick-Ups & Drop-Offs

Fossil Flowers is an appointment-only studio. All flower drop-offs, artwork pick-ups, and consultations must be scheduled through our online scheduling link, which will be provided to you during the ordering process.

Because we work with wedding flowers, memorial flowers, and other meaningful occasions, we are often meeting privately with families and clients. For the privacy and respect of everyone we serve, please do not arrive without a scheduled appointment.

If you are running late, unable to attend your appointment, or need to reschedule, please contact us as soon as possible. We understand that life happens, but we ask that you do not miss your appointment without notifying us.

Unscheduled arrivals may not be accommodated, and clients who repeatedly miss appointments without notice may be required to reschedule at our next available opening.

Natural Color Changes
Because every flower variety reacts differently during preservation, color changes are expected and are not considered defects. While results vary depending on the flower type and its condition upon arrival, common changes include:

  • White flowers may develop soft ivory, cream, or beige tones.

  • Purple flowers may shift to muted purple-gray shades.

  • Red flowers often deepen into burgundy, plum, dark purple, or nearly black tones.

  • Pink flowers may develop warm golden or champagne hues.

  • Peach flowers may become beige, cream, or golden in color.

Every flower is unique, and no two bouquets preserve exactly the same. Our goal is always to preserve the beauty and sentiment of your flowers while respecting their natural characteristics throughout the preservation process.

Flower Preservation Timeline

Every order is handcrafted and completed individually. Because we work with real flowers, each project follows a detailed preservation process designed to create an heirloom that will last for years to come. Timelines may vary depending on the season, flower condition, order complexity, and studio volume.

Stage 1 – Drying & Preservation

Your flowers will remain in our preservation process for up to 60 days or longer if needed. Every flower dries at a different rate depending on its variety, size, thickness, and moisture content. It is imperative that flowers are completely dry—inside and out—before moving to the next stage, as trapped moisture can affect the longevity and quality of the finished artwork.

Stage 2 – Flower Reconstruction & Enhancement

Once fully preserved, each flower is carefully reconstructed, strengthened, cleaned, and artistically enhanced. This process typically takes 2–10 weeks, depending on the condition of the flowers and the complexity of your design.

Stage 3 – Frame & Wood Construction

For pressed & Shadowbox flower artwork, your custom frame is handcrafted by our trusted Nebraska framing partner. All wood frames are custom built with reinforced spline joinery for added strength and longevity.

If your artwork includes custom wood components, those pieces are also individually prepared before final assembly.

Because every frame and wood component is custom made, this stage may take up to 90 days, depending on production schedules.

Stage 4 – Artwork Creation

This is where your vision begins to come to life.

  • Pressed Frames & Shadowboxes: Flowers are carefully arranged, artistically designed, and permanently mounted by hand. Every pressed frame is standardly finished with UV-protective glass to help reduce fading caused by ultraviolet light. Museum glass is also available as an optional upgrade, offering enhanced UV protection, exceptional clarity, and significantly reduced glare.

  • Resin Artwork: Flowers are carefully placed by hand and cast through multiple resin pours to create depth, clarity, and durability. Each layer must fully cure before the next can be poured, ensuring the highest quality and longevity possible.

While UV-protective and museum glass help reduce fading, they cannot completely prevent the natural aging of organic flowers. All preserved flowers will continue to age and gradually change over time, even when protected from ultraviolet light.

 

Stage 5 – Sanding & Finishing

After curing, each piece is hand sanded, refined, and polished. Larger projects may require multiple rounds of sanding, flood coats, and polishing to achieve a beautiful, professional finish.

Stage 6 – Final Quality Inspection

Every piece undergoes a final inspection to ensure it meets our quality standards before packaging or pickup.

Stage 7 – Completion & Pickup

Once your artwork is complete, we will contact you to arrange local pickup or shipping. Your finished keepsake will also include detailed aftercare instructions to help preserve its beauty for years to come.

Resin Information

Resin is an incredible preservation medium, but all epoxy resin naturally ambers (yellows) over time. At Fossil Flowers, we use premium, professional-grade resin designed to provide the greatest clarity and the longest possible lifespan. While yellowing cannot be prevented entirely, proper care can significantly slow the process. Detailed care instructions are included with every order and are outlined in the Aftercare section of these Terms & Conditions.

Design Approval & Order Changes

Because every piece is individually handcrafted, we do not provide mock-ups, digital proofs, or progress photos during the creation process. We believe your finished artwork should be a meaningful reveal, and our creative process requires flexibility as your flowers naturally evolve throughout preservation.

We welcome and encourage you to share inspiration photos, color palettes, layouts, or design ideas before we begin creating your artwork. Please email all inspiration images to fossilflowers.omaha@gmail.com so they can be added to your client file and referenced throughout the design process.

Any changes to your order, artwork selection, or design requests must be submitted in writing within 30 days of placing your order by emailing fossilflowers.omaha@gmail.com. After 30 days, your flowers are typically well into the preservation process, and major design or product changes may no longer be possible.

Our phone number is reserved for scheduling appointments, consultations, and general communication only. Messages sent by text may not be added to your client file and cannot be guaranteed to be seen or applied to your order.

Workmanship Guarantee, Repairs & Restoration

At Fossil Flowers, we take great pride in creating heirloom-quality artwork that is built to last. Every piece is handcrafted with care, and we stand behind the quality of our workmanship.

Our Workmanship Guarantee

If a flower or design element becomes loose or detaches due to the natural settling of the artwork or a workmanship-related issue, we will repair it at no charge.

Because every piece is handmade using real flowers and natural materials, minor settling over time can occasionally occur. We are happy to make those repairs to ensure your artwork continues to be enjoyed for years to come.

Repairs Not Covered Under the Guarantee

Repairs resulting from accidental damage, misuse, improper care, environmental exposure, or normal wear are not covered under our workmanship guarantee. This includes, but is not limited to:

  • Broken or cracked glass

  • Damaged shadowboxes or frames

  • Artwork dropped or impacted

  • Cracked, chipped, or damaged resin

  • Water, heat, or sun damage

  • Damage caused during shipping after delivery

We are happy to repair these items whenever possible. Repair fees are determined at the artist's discretion based on the complexity of the repair, materials required, and time involved. In some cases, replacement materials may be necessary and will be quoted before work begins.

Restoration Services

We also offer restoration services for flower preservation artwork created by other artists and preservation companies whenever possible. While not every piece can be restored, we are happy to evaluate the artwork and discuss available repair or restoration options. Restoration pricing is determined individually based on the condition of the piece and the work required.

Our goal is to help preserve these meaningful keepsakes for as many years as possible.

Aftercare & Display

Every Fossil Flowers piece is handcrafted using real flowers and natural materials. Because your artwork contains organic elements, it will naturally age over time. This aging process is normal, expected, and part of the beauty of preserving real flowers. It is not considered a defect in the artwork.

Each completed order includes a detailed Aftercare Guide with care instructions specific to your keepsake.

Display Recommendations

To help your artwork remain beautiful for years to come, we recommend the following:

  • Display your artwork indoors only in a climate-controlled environment.

  • Keep all artwork out of direct sunlight, as UV exposure will accelerate fading and resin yellowing.

  • Avoid displaying your artwork near heat sources such as fireplaces, radiators, heating vents, stoves, or in rooms with excessive heat.

  • Never leave your artwork inside a hot vehicle or unconditioned garage, attic, or storage building.

  • Keep pressed frames, shadowboxes, and other framed artwork away from humid environments, including bathrooms, saunas, indoor pools, and damp basements, as moisture can affect both the flowers and framing materials.

  • Avoid displaying artwork in areas with extreme temperature fluctuations.

Resin Artwork

All epoxy resin naturally ambers (yellows) with age. While we use premium professional-grade resin designed for exceptional clarity and long-term durability, no resin is permanently crystal clear. Proper care and limiting exposure to sunlight and heat will significantly slow the natural aging process.

Cleaning Your Artwork

  • Dust regularly using a soft microfiber cloth.

  • Glass may be cleaned with a quality glass cleaner sprayed onto the cloth—not directly onto the artwork.

  • Acrylic surfaces should be cleaned only with a microfiber cloth and an acrylic-safe cleaner.

  • Resin artwork may be cleaned with a soft microfiber cloth or mild soap and water if needed. Dry immediately with a clean, lint-free towel.

  • Never use abrasive cleaners, scrub pads, paper towels, ammonia-based cleaners on acrylic, or harsh chemicals, as they may scratch or damage the finish.

Display Safety

Your artwork should always be securely displayed using hardware appropriate for its size and weight. We recommend avoiding placement directly above beds, couches, cribs, or other areas where falling artwork could cause injury or damage.

Natural Aging

Although we professionally reconstruct and enhance your flowers to restore as much of their original beauty as possible, all preserved flowers remain natural, organic materials and will continue to age over time. As a result, gradual fading and subtle color changes are expected and are not considered defects.

Over time, flowers may soften in color, deepen in tone, or develop natural variations depending on the flower variety, environmental conditions, and display location. Resin will naturally amber with age, and wood and other natural materials may also continue to respond to their environment.

While no preservation method can permanently stop the natural aging process, proper care—including avoiding direct sunlight, excessive heat, humidity, and harsh environmental conditions—will help your artwork retain its beauty for as long as possible.

These natural changes are part of preserving real flowers and are not covered under our workmanship guarantee.

Shipping Finished Artwork

At Fossil Flowers, we strive to care not only for your keepsake but also for our environment. Whenever possible, we reuse and recycle clean shipping boxes and packing materials. Your shipping box may have been previously used, but every package is carefully inspected to ensure it is sturdy and suitable for protecting your artwork.

Each finished piece is professionally wrapped and packaged using multiple protective layers to help ensure it arrives safely. We take great care in preparing every shipment before it leaves our studio.

Once your order has shipped, you will receive an email with your tracking number so you can monitor its delivery.

All shipped orders are insured up to the value of your purchase.

Shipping Responsibility

Once your package has been accepted by the shipping carrier, delivery is the responsibility of the carrier. While we are not responsible for delays, lost packages, theft after delivery, or damage that occurs during transit, we are happy to assist you with filing claims, providing documentation, and communicating with the carrier whenever possible.

If your package has not arrived within a reasonable time after the expected delivery date, it is your responsibility to notify us promptly so we can help begin the tracking or claims process as quickly as possible.

Our goal is for your artwork to arrive safely, and we will gladly work with you to resolve any shipping concerns to the best of our ability.

Returns & Refunds

Because every Fossil Flowers piece is custom-made using your personal flowers, all custom orders are final. We do not accept returns, exchanges, or refunds on custom artwork. The appearance of preserved flowers is subjective, and natural variations in color, shape, texture, and aging are an expected part of the preservation process.

Returns and exchanges are accepted only for ready-to-ship, pre-made items that have not been customized.

To be eligible for a return or exchange:

  • You must notify us within 14 days of receiving your order.

  • The item must be unused and returned in its original condition and packaging.

  • Return shipping costs are the responsibility of the customer unless the item arrived damaged due to a verified shipping claim or we made an error with your order.

Once the returned item has been received and inspected, any approved refund will be issued to the original method of payment.

If you have any questions or concerns about your order, please contact us. We are committed to working with our clients whenever possible to ensure they have a positive experience.

Storage Fees & Abandoned Orders

Once your artwork is complete, you will be notified by email and/or phone that it is ready for pickup or shipment.

We understand that life happens. If you need additional time, please contact us so we can make arrangements.

Storage Fees

If your completed order has not been picked up or shipping arrangements have not been made within 90 days of notification, a storage fee of $5.00 per day will be applied until the order is claimed.

Abandoned Orders

If we do not receive payment, pickup arrangements, or any communication regarding your completed order for one (1) year after notification, the order will be considered abandoned.

At that time, Fossil Flowers reserves the right to:

  • Sell the completed artwork through our website, studio, or other sales channels to recover storage and production costs.

  • Repurpose or dispose of any unclaimed flowers, preserved flowers, or unfinished projects at our discretion.

  • Discard any flowers or materials left in our care if they are no longer suitable for preservation or storage.

Clients who wish to delay pickup beyond the initial 90-day period are encouraged to contact us in advance. We are happy to work with you whenever possible to arrange an alternative pickup or shipping date.

Incomplete Orders & Unclaimed Flowers

To complete your project, it is your responsibility to provide all required flowers, keepsake items, photographs, final selections, approvals (when applicable), and any remaining information needed to finish your order.

While we are happy to send reminders, Fossil Flowers is not responsible for repeatedly contacting clients to complete unfinished orders.

We will make every reasonable effort by sending up to four (3) email reminders requesting the information or items needed to move your project forward.

If we do not receive the required items or communication within one (1) year from your order date or our initial request, your project will be placed in inactive storage. We will make one final attempt to contact you before considering the order abandoned.

If no response is received after our final communication, Fossil Flowers reserves the right to:

  • Add any preserved flowers or unused materials to our studio inventory.

  • Repurpose or discard flowers or materials that are no longer suitable for preservation.

  • Close the order with no refund of any payments or retainers previously made.

We encourage clients to stay in communication throughout the preservation process. If circumstances change or additional time is needed, simply let us know—we are happy to work with you whenever possible.

Ownership of Artwork & Images

Your preserved flowers remain your property until your order is completed and delivered. However, all artwork designs, layouts, artistic techniques, photographs, videos, and original creations produced by Fossil Flowers remain the intellectual property of Fossil Flowers.

Unless otherwise requested in writing, Fossil Flowers reserves the right to photograph and share completed artwork, works in progress, and behind-the-scenes images for our website, social media, portfolio, advertising, educational materials, competitions, and other promotional purposes.

We love celebrating your special moments! If you would like us to share your wedding, memorial, or special event story, we welcome you to send us photographs from your day. We are happy to tag your photographer, florist, venue, planner, and other vendors whenever possible. Please let us know the names and social media accounts you'd like us to include.

If you prefer that your artwork or event photos remain private, simply notify us in writing before your project is completed, and we will gladly honor your request.

Respectful Communication & Right to Refuse Service

At Fossil Flowers, we believe every client deserves to be treated with kindness, honesty, and respect. We are committed to providing the same level of professionalism and courtesy in every interaction and ask that our clients do the same.

Abusive, threatening, discriminatory, harassing, or bullying behavior toward Fossil Flowers or anyone representing our business will not be tolerated. We reserve the right to refuse or discontinue service, cancel future bookings, or end communication if interactions become inappropriate or unsafe.

To protect our clients' privacy, Fossil Flowers will communicate only with the individual(s) listed on the order or another person specifically authorized by the client. We are unable to discuss order details, accept changes, or address concerns from family members, friends, wedding vendors, or other third parties who are not authorized on the order.

We are committed to resolving concerns fairly and encourage clients to contact us directly if questions arise so we can work together toward a solution.

Limitation of Liability

By choosing flower preservation, you acknowledge that real flowers are natural, organic materials that continue to change throughout the preservation process and over time.

While Fossil Flowers uses professional preservation techniques and premium materials, we cannot guarantee that every flower will retain its original color, shape, or structure. Natural fading, color changes, resin ambering, and other aging characteristics are expected and are not considered defects.

Our liability is limited to the amount paid for the artwork or service purchased. Fossil Flowers is not responsible for sentimental, emotional, incidental, indirect, or consequential damages arising from the preservation process, shipping delays, natural aging, or circumstances beyond our reasonable control.

Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the State of Nebraska, without regard to its conflict of law provisions.

Any disputes arising from services provided by Fossil Flowers shall be handled in the appropriate courts located within the State of Nebraska.

Acknowledgment & Agreement

By placing an order, paying a retainer or deposit, scheduling services, or providing flowers to Fossil Flowers, you acknowledge that you have read, understood, and agree to these Terms & Conditions.

You understand that flower preservation is both an artistic process and a natural process. Because every flower and every keepsake is unique, variations in color, texture, shape, and appearance are expected and are part of creating one-of-a-kind heirloom artwork.

  • You are responsible for following the provided shipping and aftercare instructions.

  • All custom orders are non-refundable.

  • Repairs outside of our workmanship guarantee may be subject to repair and shipping fees.

  • These Terms & Conditions govern your order and our preservation services.
